How to modify a car segment

Procedure

You can modify any Car segment options except the booking status. Each car company processes the modifications you make according to its policies and access level.

For Complete Access and Complete Access Plus car bookings, there are two kinds of options—active and non-active—and they are processed differently:

  • Active options: When you modify an active option, the System ensures all sale conditions are met, accepts the modification, and resells the segment. If sale conditions are not met, the System ignores the change and provides you with an explanation and an Availability and Rates display based on the new parameters.
  • Non-active options: You can use a non-active option to add information to an existing reservation. The segment is modified but not rebooked.

Whether options are active or non-active depends on the car company. To see how a specific car company's options are processed, refer to the Amadeus Help pages HE CAR xx (xx is the car company code).

For Standard Access bookings, the System cancels the old segment and books a new one no matter which option you modify.

For Easy Shopper bookings, you may be charged a modification fee for certain changes. If a modification fee applies when you request the modification, the provider's modification fee is displayed automatically. To acknowledge that you wish to modify the booking and accept the fee, re-enter the modification. If you used a credit card to prepay the booking, the modification fee is charged to the credit card. If you used another form of payment, such as agency check, collect the fee directly from the customer.

We will use this PNR example to illustrate how to change the car type for a Complete Access Plus company:

To change the Car Type option (VT) from ECAR (Economy) to ICAR (Intermediate), enter the segment number, the option being modified, and the new information. For example:

Because the ICAR is available, the System confirms the ICAR and displays the new rate. The confirmation number in this example has not changed. Whether the confirmation is changed or not depends on the car company.

In a Complete Access or Complete Access Plus booking, you can use a non-active option to add information to a Car segment. To do this, enter the segment number, the option being added, and the information. For example, to add a customer's ID number to the Car segment, enter:

To change existing supplementary information, enter:

3/SI-CUSTOMER PREFERS BUICK REGAL

To add more text to existing supplementary information, place an asterisk (*) in front of the text. For example:

3/SI-*CUSTOMER PREFERS BUICK REGAL

Entering the option with no following text or information deletes it from the Car segment. For example, to delete the customer ID number, enter:

3/ID-

You can add to or modify a Car segment using the options listed below. Combine multiple options into one entry by separating each option with a slash. For example:

4/VT-ICAR/ID-/SI-*CUSTOMER PREFERS BUICK REGAL
